For this week’s discussion, I am going to expand on Gantt chart and how this tool is used to monitor projects processes, specifically when outsourcing a vendor for an EHR system.
Previously discussed, a Gantt chart is an efficient way to track your teams project progress each step of the way however, this Gantt chart may look different than it would if you were to build your EHR system from start to finish without a vendor.
In this particular Gantt chart, there will be a few key elements/tasks that will need to be included- these are as followed:
Define organization needs and system requirements
critical components
- requirements for each critical component
how will we meet strategic goals?
- Identify vendors
- consider budget, needs, wants, research, references, and recommendations
- what does their support structure look like?
- does the vendor align with organization needs?
Request for Information
- After identifying which vendors your team is interested in, you will need to reach out and request more information
- what do they offer?
- what is the initial price and on-going costs?
- Evaluate vendor responses
take into consideration finical, clinical, medical, security, system setup, support structure, client portal, etc.
- Look at demos of (on-site or remotely)
Compare finalists
- Select EHR

- Using a Gantt chart would be the most efficient way as it’s a visual representation that shows progress- what has been done, what is currently happening, and what to expect in the future. Your project management team can have each step of the vendor selection organized by when the task should start, how long the task should take, when it actually started, and how long it actually took (BIS, 2021). The main challenges this tool hold is:
tedious to manage and update
- incomplete visibility of tasks
- Overall, a Gantt chart is shown to be very useful and effective in project management and would be the primary tool I would use if I was executing a large project.

Why did you select it?
I chose the Gantt chart because it helps plan and schedule project management tasks. The Gantt chart assists the Project Manager (PM) visually in assessing the timing and duration (12 months), determining the resources needed, and planning the order in which the PM and teams will complete tasks. Additionally, the Gantt chart is also helpful for managing the dependencies between tasks showing how one task is affected if another is behind schedule. Finally, I chose the Gantt chart because it is a horizontal bar that is proportional to the time required to complete; furthermore, it shows a beginning and end has a start, and an end, which can be seen immediately along with dependencies (Ochs & Watters, 2020).
- What are its benefits and limitations for EHR project management?
- The primary purpose of having a Gantt chart is to make things more transparent and more straightforward for the PM and the stakeholders, seen in real-time. Too much complexity produces information overload, and people can and will feel overwhelmed about the project. The benefits of the Gantt Chart are as listed:( Donato, 2022) :

The Gantt chart is being used across all organizations and companies, whether large or small projects. The Gantt chart is simple in principle, as listed: (Donato, 2022):
Task names: Written at the leftmost part of the Gantt chart.
Activity bars: They represent the duration of the tasks.
Time scale: The topmost part of the Gantt chart represents points in time that correspond to when the tasks occur.
In my opinion, the Gantt chart is project manager friendly. It aids the PM in planning projects, aligning the teams, and keeping the stakeholders updated on your progress and project status.
