Why do you think ECM is important to an organization?
(1) Discussion.
Primary Task Response: Within the Discussion Board area, write 400–600 words that respond to the following questions with your thoughts, ideas, and comments. This will be the foundation for future discussions by your classmates. Be substantive and clear, and use examples to reinforce your ideas.
Enterprises are accumulating substantial amounts of data that are necessary for their business operations. As the quantities of data increase and the systems and processes used to manage these data become more complex, enterprises need better management of the content. The term enterprise content management (ECM) is used to describe this management process. For this discussion, research the library and Internet for information about ECM, and respond to the following questions:
- Why do you think ECM is important to an organization?
- What aspect of ECM is most influential to the health of an organization, and why?
- Select 1 area of ECM, and discuss the importance of this area to the effective management of content in an organization.

Why do you think ECM is important to an organization?
ECM (Enterprise Content Management) is important to an organization because it will assist the organization to spend less time looking for documents needed for a project, or to review historical data that will assist in the improvement of their current business, assist with productivity and efficiency, preserve documents,
reducing cost by decreasing the need for supplies and storage of printed documents and binders. ECM will preserve the organizations documents, and with proper storage, the organization will be able to retrieve the information even if a disaster may have occurred destroying the physical location of the business, ensuring
continuous productivity, and reliability (Burroughs, 2012).
ECM in other words will assist an organization to be more efficient, more organized, and will assist in having records be accessible by not only a small group of individuals, but with ECM can have these documents be accessed quickly by all who need to review them.
What aspect of ECM is most influential to the health of an organization, and why?
Data governance, although a relatively new concept, is how businesses exercise control of how the data of the organization is handled. Data quality, data management, policies related to data, business processes and risk management of risks associated with data are areas that are affected by data governance (M.U.S.E,
2019). It establishes formal processes areas of impact, which are to ensure that throughout the enterprise, data is treated consistently and appropriately (M.U.S.E, 2019), making data governance an important strategy to improve data quality, which results in improvement of productivity, efficiency, and financial health.
Select 1 area of ECM, and discuss the importance of this area to the effective management of content in an organization.
Although all areas in ECM are equally important, the area of ECM I am choosing to talk about is management. Management is an active part of the process, and has multiple areas within it. Management of Documents, web content, records, and business processes, as well as collaboration (collaborative software). Although
each of these can be used individually, they can also be used in addition to other information.

Enterprise Content Management (ECM) is the way an organization stores and manages its documents and any other content that is used for business processes (M.U.S.E., 2019). ECM comprises of major components that includes Capture, Management, Storage, Preservation and delivery.
Why do you think ECM is important to an organization?
According to Naviant (2019), an ECM solution is important to organizations as part of their efforts in keeping track of all their information. An ECM solution helps organizations manage numerous, complex and duplicative data from different sources within the organization. In addition, an ECM solution helps to reduce operating
cost. Once redundant tasks are eliminated, various cost saving benefits are realized by eliminating financial waste. Time saving benefits are also realized through an ECM solution as information can quickly be retrieved from managed electronic sources versus large volumes of paper documentation. When an organization is
able to efficiently manage data, it leads to improved customer service. This is due to the fact that information needed for effective decision-making processes can be easily obtained.
What aspect of ECM is most influential to the health of an organization, and why?
Storage can arguably be described as the most influential aspect of an ECM solution that affects the effective functioning of an organization. When all the relevant data pertaining to an organization’s business has been collected through various media, it has to be stored somewhere and in some way. Data storage solutions are
numerous ranging from legacy systems that store data on servers at various location for the organization, to cloud based solutions from various cloud service providers. According to Atlassian (2019), “moving ECM to a cloud-based platform allows organizations to avoid up-front implementation and infrastructure costs,
mitigate staffing expenses, and ultimately reduce their total cost of ownership on the storage and management of content”.
Select 1 area of ECM, and discuss the importance of this area to the effective management of content in an organization.
One area of ECM that has a direct effect on effective content management within an organization is the capture area. Capturing information from all available sources such as paper documentation, interviews and various other electronic formats is ultimately the key first step in the ECM process. Any information that is
captured has to be accurate and consistent in order for the ECM solution to have reliable data. If the information captured is of no value or inaccurate, the entire ECM infrastructure will be built on unreliable data. ECM processes in general, attempts to create metadata out of the numerous volumes of information being
presented to be included in the records. To query such large volumes of data, indexes are created to better manage the data. Any information delivered to the organization will be unreliable if the information captured into the ECM solution in inaccurate in the first place.
